Rita answers phone calls for small businesses. This page explains what information she handles, why, where it is kept, for how long, and what you can ask us to do with it.
Rita is not taking calls yet. This policy covers this website today, and how Rita will handle calls once she starts. We will update this page, and the date above, before she takes her first real call.
Who we are
Rita is a Seen & Heard service. Seen & Heard is a brand of JDAH Ventures Limited, registered in Ireland, company no. 821998, registered office 77 Lower Camden Street, Dublin 2, D02 XE80. We operate from Vilamoura, Portugal.
For anything about your information, email hello@getrita.pt.
Two different roles
- Our website, and businesses who talk to us or use Rita. We decide how this information is used, so we are responsible for it.
- People who call a business that uses Rita. The business decides what its calls are for. We handle the call on its behalf, under a written data processing agreement, and use the information only to do what the business has asked.
This website
- No cookies, no analytics, no tracking. We do not set cookies, we do not measure your visit, and the page loads nothing from other companies.
- The demo stays in your browser. The sample calls play on your own device. Nothing you choose or play is sent to us.
- Hosting. Cloudflare delivers this website. Like any web server, it processes your IP address to send you the pages and to protect the site from attacks.
If you contact us
When you email us or book a call, we keep what you send: usually your name, your business, your email address or phone number, and what you tell us about your calls. We use it only to reply and to talk to you about Rita, because you asked us to.
We delete these conversations once we no longer need them to talk to you about Rita, and in any case within 12 months of your last message, unless you become a customer.
Businesses that use Rita
To run Rita for your business we hold your contact and billing details, the facts you approve for Rita to use (hours, prices, menu, services, holiday closures, who to call in an emergency), and the numbers and addresses where you want summaries and transfers sent. We need this to provide the service we have agreed with you.
We keep it for as long as you use Rita. After that we delete it, apart from invoices and records that tax and accounting law requires us to keep.
If you call a business that uses Rita
- She tells you she is an AI. Rita says so in her first sentence, in your language, on every call.
- What she handles. Your phone number, as shown by caller ID, and what you say on the call: usually your name, what you are calling about, and any booking or change you would like. Your voice is turned into text as you speak so she can understand you.
- Why. To answer your call and pass your message or request to the business. Nothing else.
- Not recorded by default. Rita does not keep an audio recording of your call unless the business has switched recording on. If it has, you will hear a short notice at the start of the call.
- What the business receives. A written summary of your call, and a transcript it can read in its Rita account.
- How long. Transcripts, and any recordings, are deleted after 30 days. The business can choose a shorter time. The summary we send the business by email or message then sits in its own records, under its own care.
- Only what is needed. Rita asks only for what the business needs to help you. She gives no medical advice. If you choose to mention health details when calling a clinic, they go to the clinic as part of your message.
Because the business decides what its calls are for, questions about how it uses your information are best sent to the business. You can also write to us and we will pass your request on and help it get answered.
Never used to train AI
Your calls, recordings and transcripts are never used to train AI models.
Where your information is kept
Calls are processed and stored in the European Union, in Microsoft's Sweden Central data centre. Microsoft provides the speech, language and call-handling technology Rita runs on. We will name every company that handles call data on this page before Rita takes her first call.
Cloudflare, which delivers this website, is a US company. Where information reaches it outside the EU, it is protected by the safeguards the law requires, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
Keeping it safe
Call data is encrypted when it travels and when it is stored, and only the people who need it to run the service can reach it.
Your rights
You can ask us for a copy of your information, to correct it, to delete it, to limit how it is used, to object to how it is used, or to receive it in a form you can take elsewhere. Email hello@getrita.pt and we will reply within one month.
You can also complain to a data protection authority, in the EU country where you live or work or where you think something went wrong. In Portugal that is the CNPD, and in Ireland the Data Protection Commission.
Changes
When this policy changes, we update this page and the date at the top. If a change matters to a business using Rita, we tell it directly first.
